What separates an expedition from a long trek is distance from help, and the planning that has to compensate for it. Every answer has to exist before departure, because none of them can be worked out from a col with a satellite phone and a weather window closing.
Rotations are structure, not a note in the margin
Climb high, sleep low, repeat — an acclimatization profile is the shape of the expedition rather than an annotation on it. Blocks nest four levels deep, so a rotation holds its carries, its camps and its rest without flattening into a list where the pattern disappears. Reserve days for weather are budgeted from the outset, because an expedition planned without them either fails or overruns into somebody's flight home, and both outcomes are avoidable on paper.
Porters, loads and what you owe them
Porter logistics carry obligations that are the operator's and nobody else's: load limits, wages, insurance, shelter and food. These belong in the plan as costed items with counts, not in a coordinator's memory, both because the arithmetic changes when the team size changes and because getting it wrong is a reputational problem long before it is a financial one. Supplier records hold the agencies and the rates you actually agreed, so next season starts from what happened rather than from a recollection.
The evacuation answer, written down in advance
Who is called, from where, with which device, and who pays — an evacuation plan is four questions with names attached, and it either exists in the document or it does not exist. The same is true of the communication schedule: fixed check-in times mean a missed call is information rather than anxiety. Insurance requirements, medical declarations and next-of-kin details are collected through a questionnaire before anyone leaves, and the documents come back into the trip record instead of an inbox.
Member handbook, team brief, base-camp file
Members receive the plan they need to prepare for and nothing that would alarm them without context. What Vectorra is not
What Vectorra does not do: no satellite device integration, no live tracking feed, and no weather forecasting — you still run those separately. Permit applications are records to store, not workflows we submit. There is no payment collection. And for genuinely technical mountaineering, a good deal of what matters lives in a guide's judgement rather than in any document, which is worth saying out loud.
Questions
- Can it model acclimatization rotations properly?
- Yes — nesting goes four levels, so a rotation contains its carries and camps as children rather than as a flat sequence you have to read carefully to understand. The 21-day template shows an approach trek, base camp, rotations and extraction built that way.
- Where do porter wages and insurance live?
- As costed items with quantities on the days they apply, so team-size changes recompute rather than being re-estimated. They appear in your internal and operations exports and never in the member document.
- Can I collect medical and insurance details?
- Send a questionnaire per member for insurance policy numbers, medical declarations and next-of-kin. Uploaded documents attach to the trip, so the file that matters is in one place when it is needed rather than in five email threads.
- Is it usable without a signal?
- Honestly, no — Vectorra is a planning and document tool, not a field app. Export the PDFs before you go. That is the workflow we support and it is better to say so than to imply otherwise.
