How to read this template

This is a real itinerary, not a preview. Everything below is what an operator would send — and what their guides would carry.

1 day
Each day is a segment. Reorder them, drop one, insert a rest day — the rest of the itinerary follows.
14 blocks
Everything inside a day is a block: a transfer, an activity, a meal, a night, a briefing. Blocks carry their own type and colour.
33 fields
Distances, ascent, times, prices and notes are structured fields, not prose — so they total, sort and export instead of only reading well.
4 internal notes

below. Your guides get them; your clients never see them.

One itinerary, three audiences

The same content exports three ways without being rewritten: a client PDF with the internal notes and cost lines stripped, a guide sheet that keeps them, and an internal ops sheet with margins. Most tools give you the first one and leave the other two to a spreadsheet.

Safety Briefing
Info
Description:

Equipment check before the activity: helmets fitted, harnesses adjusted (if applicable), group communication signals reviewed. Emergency procedure: in case of injury, stabilize, call rescue (local emergency number), and wait at the nearest accessible point. Turnaround time is 12:00 regardless of progress — safety over summit.

Notes:
Internal — guides only

Confirm the weather at 06:00 and pick the afternoon activity accordingly rather than announcing it at breakfast — the flexible slot is the reason this day works in mixed conditions.

Packed Lunch in Nature
Meal
Description:

Lunch at a scenic spot near the morning activity area. Packed from the accommodation or prepared the night before. Sandwiches, fruit, nuts, and energy bars. Find shade, rest, and refuel before the afternoon.

Duration:
45 min
Client Price:
10 €
Afternoon Activity
Easy
Activity
Description:

Relaxed afternoon activity — swimming in a natural pool or river, exploring caves, or a gentle nature walk. Lower intensity than the morning to let the body recover while still enjoying the outdoors. The guide chooses the best option based on conditions and group energy.

Duration:
2h 0min
Rest at Scenic Spot
Free Time
Description:

Downtime at a beautiful location — a lakeshore, riverbank, or meadow with a view. Nap, read, take photos, or simply absorb the landscape. This buffer time prevents the day from feeling rushed.

Duration:
45 min
Sunset Walk
Easy
Activity
Description:

Short walk to a viewpoint for sunset. Easy terrain, no rush. Bring a warm layer — temperatures drop quickly after the sun goes down. A calm finish to an active day, and often the most memorable part.

Duration:
1h 0min
Dinner at Local Spot
Meal
Description:

Dinner at a nearby restaurant or grill spot. After a full day outdoors, appetite is strong — order generously. Share stories from the day's adventures. Local wine or craft beer recommended.

Client Price:
25 €
Start Time:
20:00
Return Transfer
Transport
Description:

Drive back to accommodation. Everyone will be pleasantly exhausted. Check nothing is left at the activity sites — gear, clothing, and phones have a way of being forgotten after a long day.

Duration:
45 min
What's Included
Info
Description:

One or two guides for the full day, all transport from pickup to drop-off including the moves between activity areas, technical equipment for the morning and afternoon activities, the packed lunch, and group safety equipment. The afternoon activity is chosen on the morning's conditions rather than fixed in advance, which is what lets this day run in mixed weather.

What's Not Included
Info
Description:

Personal clothing and footwear suited to a full day outdoors, the evening meal at the local restaurant, drinks beyond the water provided, travel insurance, and gratuities. Bring two litres of water per person: it is on the packing list because the refill points are not reliable.

Notes:
Internal — guides only

The flexible afternoon is the selling point and the thing most likely to be misread as vagueness. Explain at booking that the alternative is chosen on conditions, or a guest arrives expecting one specific activity and treats the substitute as a downgrade.

Insurance & Documents
Info
Description:

Travel insurance covering outdoor activity is required. Bring photo ID and your insurer's emergency number, and tell the guides about any medication or allergy at the morning briefing rather than assuming the booking form reached them.

Notes:
Internal — guides only

Take the medication and allergy information verbally at the briefing even if it is on the booking form. Forms get filed and the guide on the day is frequently not the person who read it.
