How to read this template

This is a real itinerary, not a preview. Everything below is what an operator would send — and what their guides would carry.

3 days
Each day is a segment. Reorder them, drop one, insert a rest day — the rest of the itinerary follows.
26 blocks
Everything inside a day is a block: a transfer, an activity, a meal, a night, a briefing. Blocks carry their own type and colour.
61 fields
Distances, ascent, times, prices and notes are structured fields, not prose — so they total, sort and export instead of only reading well.
7 internal notes
Marked
Internal — guides only
below. Your guides get them; your clients never see them.

One itinerary, three audiences

The same content exports three ways without being rewritten: a client PDF with the internal notes and cost lines stripped, a guide sheet that keeps them, and an internal ops sheet with margins. Most tools give you the first one and leave the other two to a spreadsheet.

City Tips & Return Visit Ideas
Info
Description:

Three days barely scratches the surface. For a return visit: the botanical gardens (half day), the contemporary art museum (new exhibitions quarterly), the flea market (Sunday mornings only), the cooking class (book 2 weeks ahead), and the day trip to the coastal town (1-hour train). This city rewards repeat visits.

Notes:
Internal — guides only

File feedback on all restaurant bookings — which worked well, which to skip next time. Collect guide performance notes. Submit final group expense tally with receipts sorted by day.

What's Included
Info
Description:

Two nights at a city-centre hotel, a licensed guide for the two guided days, entry with timed tickets to the major museum and the main historic sites, one lunch, and a route built around the districts rather than a checklist of monuments.

What's Not Included
Info
Description:

Travel to and from the city, breakfasts unless the hotel includes them, the remaining meals, temporary exhibitions with their separate tickets, public transport passes, and gratuities. The city tourist tax is collected by the hotel per night and is not included in the room rate quoted here.

Notes:
Internal — guides only

City tourist tax is small, universal, and the thing guests query at checkout because nobody mentioned it. Put the per-night figure in the quote.

Insurance & Documents
Info
Description:

Photo ID for concession rates, and the hotel will take passport details at check-in for the tourist tax register. Ordinary travel insurance covers this itinerary. If you plan to hire bicycles on the free afternoon, check that your policy covers it — several exclude cycling outright.

Notes:
Internal — guides only

Passport details at check-in catch people who left documents in the room safe. Warn the group the night before so registration does not take twenty minutes.
